Administrative Specialist IV – Simulation – Altamonte- On Call

Florida Hospital Altamonte seeks to hire an Administrative Assistant who will embrace our mission to extend the healing ministry of Christ.

Department Profile:

Located in Altamonte Springs at the beautiful Lakeview Plaza, the Learning Technologies Department is responsible for delivering world-class simulation training experiences to clinical and non-clinical leaders, staff members and teams in state-of-the art facilities across the eight Florida Hospital campuses, the Adventist University of Health Sciences, and the Graduate Medical Education program. Our team of highly skilled simulation educators and technicians develops and implements comprehensive training and simulation programs enabling Florida Hospital professionals to make providing service our priority while caring for the whole person in a faith-based atmosphere.

Job Summary:

Actively participates in outstanding customer service and accepts responsibility in maintaining relationships that are equally respectful to all. Responsible for a variety of administrative and clerical duties in support of the Nutritional Services Department, such as answering phones, greeting visitors, processing payroll and invoices, ordering department supplies, maintaining employee files, creating documents, and following confidentiality guidelines.

Knowledge, Skills, Education, & Experience Required:

  • Ability to read, speak and write English effectively
  • General computer knowledge
  • Microsoft Office programs
  • 2 years experience in clerical role (preferred)
  • Bilingual English/Spanish (preferred)
  • Florida Hospital software (preferred)

  • N/A

Job Responsibilities:

  • Provides world class service while answering the phone, updating voice mails, forwarding calls appropriately, greeting and directing visitors, receiving and distributing mail.
  • Communicates effectively and appropriately verbally and in written documentation with staff, customers, and patients.
  • Assists with coordination of department and external community events.
  • Completes work orders for repairs needed in the area; follows-up for completion; adheres to NS Safety and Sanitation standards.
  • Completes tasks that may include processing time and attendance adjustments, ordering department supplies, filing, scanning, processing petty cash, invoices and PAVs.
  • Creates documents, such as spread sheets, signs, banners, newsletters, job routines, education materials, and flyers.
  • Assists with managing the area Outlook schedule.
  • Manages the preparation and/or flow of documents that are required by FH, NS and regulatory agencies, which may include performance evaluation packets, out-patient packets, Education Notebook, bulletin board maintenance, employee files, and patient files.
  • May schedule out-patient appointments for nutrition counseling; obtains necessary information from physician, patient financial accounts, and patients; follows-up post appointment; communicates with staff to ensure smooth operations.
  • Follows FH and NS Policy & Procedure guidelines and SOPs.
  • Performs other duties as assigned or directed to ensure a smooth operation of the department.
